The Kanban method explained
Kanban originated in Toyota's manufacturing system and was adapted for knowledge work. The core principles: visualize your work, limit work in progress (focus reduces context-switching), and flow work through stages from left to right as work progresses.
Setting up effective columns
The classic setup is Backlog → To Do → In Progress → Review → Done. Limit your In Progress column to 2-3 items maximum. More than that and the board loses its focus benefit.
When Kanban outperforms todo lists
Kanban excels for ongoing work with multiple parallel streams — software development, content creation, project management. It shows status at a glance and highlights what is blocked.
